SEO REPORTING

SEO report template: the monthly report clients actually read

An SEO report template is a fixed structure for showing search performance each month: a plain-English summary, organic clicks and conversions, rankings, technical health, AI visibility, work completed and next steps. Keep it to what changed, why, and what happens next. Digimetrics pulls Search Console and GA4 data at no extra cost, and the Expert plan exports white-label PDF reports.

The short answer

  • A good monthly SEO report answers three questions: what changed, why, and what we will do next.
  • Lead with business outcomes (organic conversions and clicks), then the leading indicators (rankings, impressions, health).
  • Search Console clicks and Google Analytics sessions are the most comparable pair, but they are counted differently and will not match exactly.
  • Add AI visibility in 2026: mention rate and citations across AI assistants alongside classic rankings.
  • Use the same template every month so clients learn where to look and trends are easy to see.

What should a monthly SEO report include?

Seven sections: summary, outcomes, search visibility, rankings, technical health, AI visibility, and work done plus next steps. Each one should fit on a page.

Most reports fail in the same way: twenty charts, no conclusion. Clients do not want to interpret data; they want to know whether it is working. Put the conclusion first and let the charts support it.

Here is the SEO report template we recommend, with the source for each section. Copy it into Google Sheets, Excel or Word, or build it as a Looker Studio dashboard.

Which SEO metrics belong in a client report?

Report outcomes first (conversions from organic search), then traffic (clicks), then leading indicators (impressions, rankings, health). Leave out anything you cannot connect to a decision.

Search Console's Performance report gives the core search metrics: clicks, impressions, click-through rate and average position, which Google defines as the average position of your topmost result. Google Analytics adds what happens after the click. Google's own guidance on combining the two says clicks and sessions are the most comparable metrics, but they are calculated differently, so the numbers will not match exactly. Say so in the report before a client asks.

How to explain changes, not just show them

Every number that moved needs a one-line reason: a fix you shipped, a page you published, seasonality, a competitor or a Google update. If you do not know yet, say what you are checking.

This is where reports earn trust. Digimetrics tools are built to give the reason with the number. In the official Search Console tutorial's sample, the plain-English story flagged one search shown 61,300 times with a 3.5% click rate, split across three competing pages: a finding with an obvious next step. In the SEO Diagnostics sample, a page dropped four places after a redesign and lost 22% of impressions, which tells the client exactly what happened.

Google's traffic-drop guidance helps frame the conversation: a small drop, such as from position 2 to 4, can reverse on its own, and radical changes to pages that already perform well are best avoided. Putting that in writing stops panicked requests after a quiet month.

  • Up: name the fix or page that likely caused it.
  • Down: name the cause, or what you are checking, and the plan.
  • Flat: explain whether that is expected (seasonality, work not yet indexed).
  • Always: link each change to the next action.

SEO report template formats: Google Sheets, Excel, Looker Studio or PDF

Use Sheets or Excel for small accounts, a Looker Studio dashboard for clients who want live data, and a branded PDF for clients who want a monthly document. Many agencies send a PDF and keep a dashboard for questions.

Google publishes a free Looker Studio dashboard template that shows Search Console and Google Analytics side by side; Google's Looker Studio help notes the product is now called Data Studio. It is good for live monitoring but needs setup per client and still needs a written summary on top.

A spreadsheet SEO report template in Google Sheets or Excel is the most flexible and the most manual. A Word or PDF report reads best for owners who will not log into a dashboard.

SEO reporting for clients: an agency workflow

Keep each client in their own project, schedule the checks so data is ready on reporting day, and export a white-label PDF under your brand. Then spend your time on the summary.

On Digimetrics, the Expert plan includes 25 projects, white-label PDF export and API access for $159 a month billed annually, which is why agencies and white-label agencies use it for monthly reporting. Pro covers 10 projects at $87 a month billed annually if you do not need your own branding.

A practical monthly rhythm: Full Site Audit and Rank Checker run on a schedule in the last week of the month, AI Mentions Tracker runs on the same questions, Search Console and GA4 data load on their own, and you write the three-sentence summary on reporting day. For the audit side of the work, the SEO audit checklist shows what each scheduled check covers.

How to add AI visibility to your SEO report

Add one section with four numbers per month: mention rate, citation rate, sentiment and the top sources cited, measured with the same buyer questions each time.

Clients increasingly ask whether ChatGPT recommends them. Answering with a screenshot is risky because AI answers vary. Answering with a monthly trend across GPT-4o, Claude, Gemini, Perplexity and Google AI Overview is not. In the official tutorial's sample (fictional brand Brightpath), AI Mentions Tracker found 12 of 15 answers named the brand (80%), with one question at 38% visibility: a headline and a clear next action in one line.

For Google's own AI features, Google says AI Overviews and AI Mode traffic is included in Search Console's Performance report under the Web search type, so it is already inside your clicks and impressions. Our guide to measuring AI visibility covers each metric in detail.

HOW IT WORKS

How to build a monthly SEO report in six steps

  1. 1

    Connect your data sources once

Link Search Console and Google Analytics read-only. Both are free to connect because it is your own data.

  2. 2

    Pick the period and comparison

Compare this month with last month, and with the same month last year for seasonal businesses.

  3. 3

    Pull rankings for agreed keywords

Check the client's priority keywords with the Rank Checker, including city and mobile if they are local.

  4. 4

    Re-run the health check

Schedule Full Site Audit monthly so the report shows the health score trend and any new critical fixes.

  5. 5

    Measure AI visibility

Run the same buyer questions through the AI Mentions Tracker each month and report mention rate and citations.

  6. 6

    Write the summary last

Three sentences: the headline result, the main reason, and the top priority for next month. Then export.

QUESTIONS PEOPLE ASK

Frequently asked questions

Still unsure? Email support@digimetrics.ai and a person will reply.

What is the best SEO report template for clients?

One that opens with a three-sentence summary, then outcomes, search visibility, rankings, technical health, AI visibility and next steps. The best template is the one you use unchanged every month so clients learn where to look.

How long should a monthly SEO report be?

Short enough to read in five minutes: one page of summary and one page per section. If a chart does not support a decision, cut it.

Why do Search Console and Google Analytics numbers differ?

Search Console counts clicks from Google Search results; Google Analytics counts sessions on your site. Google says they are calculated differently, so they will not match, but they should move in the same direction.

Can I white-label SEO reports?

Yes. The Digimetrics Expert plan ($159 a month billed annually, $199 monthly) includes white-label PDF export, 25 projects and API access, so reports go out under your agency's brand.

Is there a free SEO report template for Google Sheets or Looker Studio?

Yes. Copy the seven-section table on this page into Google Sheets, or use Google's free Looker Studio dashboard template for Search Console and Analytics. Add your written summary on top either way.

How often should I send SEO reports?

Monthly for most clients, because search changes take weeks to show. Send a short note sooner only for significant events, such as a large traffic drop or a critical issue found by a scheduled audit.
